

VENDOR INFORMATION
& APPLICATION
Thank you for your interest in Stafford SummerFest & Fireworks! A long-standing town tradition, this free, family-friendly event has grown into a well-established destination, drawing an average of 5,000 attendees each year—and continuing to grow.
We promise comprehensive event marketing and individual vendor promotion, maintain thoughtful vendor/attendance ratios, offer easy pull-in/pull-out plaza-type space, and work to make your experience and logistics as seamless as possible. Our participating food vendors consistently report business successes following the event.
All perspective vendors must fill out the below form in its entirety. This form will be submitted for review. You will be notified in a timely fashion if your request to vend has been accepted.
Stafford SummerFest & Fireworks
Date: Wednesday, June 25, 2025 (rain date Thursday, June 26)
Time: 5:00pm – 10:00pm
Venue: Stafford School Complex (145 Orcuttville Road, Stafford, CT 06076)
Spot Fee: $100 for food trucks/trailers. $50 for pre-packaged specialty foods. Following application acceptance, an invoice will be issued from the Town of Stafford.
Setup/breakdown:
Food vendors may arrive as early as 1:00pm for setup (we ask an approximate arrival time be confirmed prior to the event). All vendors must be onsite by 3:00pm for their North Central District Health Department inspection.
Health Department Permit:
Vendors serving food must be licensed through the North Central District Health Department (NCDHD). If vendor does not hold an annual Seasonal Food Service License, a Temporary Event Food Service Application must be submitted, and applicable permit fees paid, at least TWO WEEKS prior to the event—no later than June 11, 2025 (late submissions are not guaranteed; additional fees apply.). Applications are available at the NCDHD Office, located at the Warren Memorial Town Hall, or by calling 860-684-1775. More information is available at www.ncdhd.org. Please attach copy of applicable NCDHD permit.
Additional Requirements:

All vendors are expected to follow state and local fire regulations, and display fully charged, inspected, and tagged fire extinguisher(s).

All food vendors must provide current certificates of Commercial General Liability Insurance for a minimum of $1 million per occurrence with the Town of Stafford included as additional insured, NO LATER THAN, June 1, 2025.

Vendors must supply their own power supply/quiet generators.

All pertinent laws, ordinances and regulations pertaining to health and public safety shall be strictly observed.

Vendor agrees to accept space assigned.

While waste receptacles will be placed within vendor area for “normal” refuse items, objects like large boxes will need to be carried out at the end of the event..
